Introduction

Simple Taskboard is our own task management app for small businesses. It started life as the tool we built to run Web Design MK day to day, and we’ve turned it into a hosted product that any small team can sign up to, brand as their own and use for £19 a month, including VAT.

The Challenge

For years we ran our client work on a big-name task management platform, but for a small team it was overkill: far too many features and settings, menus full of options we never used, and the things we needed day to day buried under it all. We looked at the alternatives and couldn’t find anything simple enough. We wanted one tidy board for the whole team, a workspace for each client with their full history, due dates and red, amber and green priorities, “waiting on client” and “waiting on team” statuses, timers for logging time, and email notifications. We also wanted our costs and profit on each job kept private to the business owner, while the rest of the team only sees their time.

Our Solution

We built our own. Taskboard went live as our team portal, we moved every active customer and internal task across from our old system and cancelled the subscription. Once it was running our business, we turned it into Simple Taskboard, a hosted version that other small businesses can use. Each customer gets their own board with their logo, colours and light or dark mode, and only a small “Powered by” link mentions us. There’s one flat price for up to 25 people with no per-seat fees, a free first month with no card needed, and every feature included. The board owner has a switch for each of the 12 features, from timers and recurring monthly jobs to a client portal, ready to bill, timeline view, email in and private profit tracking, so they turn on only what their business uses.

Implementation Process

We designed and built the marketing site at simpletaskboard.co.uk with features, pricing, questions, help and blog pages, and an animated board on the home page that shows jobs moving from To do to Done. Sign-up takes a couple of minutes and payments run through Stripe, with monthly or yearly billing and cancellation at any time. Security was built in from the start: private file storage, each person with their own login, lockouts after repeated wrong passwords, timesheets that only the owner can change, and a full data export whenever a customer wants it. The site has proper terms and a privacy notice stating it’s run by Web Design MK, a cookie consent banner, an accessibility widget and statement, and a sales chat to answer questions. Android and iOS apps are on the way.
